Secretary/PA to the Managing Partner

Stags is a well-established South West property firm with 21 offices and approximately 200 staff throughout the region.  We have a fantastic opportunity for a Secretary / PA to join us and provide comprehensive secretarial and PA support to our Managing Partner who also works in the Professional Services team.  The role is based in our Tiverton office.  

The role is busy and varied alternating between supporting the Managing Partner in dealing with Partnership and firm-related matters through to supporting our team of rural surveyors in providing great client service for all rural property-related matters. 

As PA to the Managing Partner, the applicant will be at the forefront of the firm’s internal and external contacts (mainly phone and e-mail) and will need to be able to interact comfortably with a wide range of people including Partners, clients, new joiners and business leaders. 

The role involves monitoring the time-keeping and performance of staff and full involvement in the firm’s administrative functions, including business plans through to debt collection, complaints handling, master templates and documents. 

The professional work includes (but is not limited to) Expert Witness and Red Book valuation reports (loan security, tax and contentious), Landlord and Tenant work and compensation claims.  The team works closely with colleagues across the business, as well as property professionals and land owning clients. 

There is the opportunity to grow and develop in the role and take on more project-related work as required. 

The Candidate:

The successful applicant will have a flexible, positive and “can do” approach, be self-motivated, able to use their own initiative and prioritise their workload.  They will also need to be able to take responsibility for a variety of matters, adhering to strict and tight deadlines. Experience working in a busy environment is preferred and attention to detail is key. 

An understanding of the rural environment and property management experience would be advantageous but not essential. 

Day to Day Tasks:

  • Being the first point of contact for the MP both internally and externally
  • Fielding and handling calls / client enquiries / e-mails
  • Diarising appointments and meetings
  • Attending meetings and taking minutes and overseeing any actions arising
  • Taking initiative in progressing matters and enquiries
  • Typing correspondence, valuation reports, e-mails, etc
  • Scanning, invoicing, photocopying and filing
  • Liaising with other offices and departments across the Firm
Essential Skills & Experience:
  • Professional and organised with the ability to multi-task competing priorities
  • An ability to keep calm under pressure
  • Excellent communication skills
  • A good telephone manner
  • Microsoft Office (Outlook, Word and Excel)
  • Accurate typing speed (ideally 60wpm+)
